Episode 65: The 21 Meal Playbook with Caroline Dilbeck

In this episode, Hannah Morgan sits down with Caroline Dilbeck, systems strategist and creator of HomeTeam Playbooks, to talk about meal planning that actually works.

Caroline breaks down how to identify your 21 core dinners — the go-to meals your family loves — and use them as a simple rotation that keeps grocery lists predictable and mealtime decisions effortless. She also shares practical tools for organizing your recipes (digital or analog), creating visibility across your household, and reducing the daily “what’s for dinner?” stress.

Whether you’re managing a full-time job, a busy household, or both, Caroline’s approach helps you reclaim your time, lower friction, and build a meal system that truly supports your family.

Key Takeaways

  • Start with 21 meals: You don’t need hundreds of recipes — just a small, dependable rotation.

  • Brain dump first: Set a 5-minute timer and list meals you already make regularly.

  • Customize your system: Use what works — a digital app, binder, or recipe cards.

  • Share the load: Make your meal plan visible so others can step in and help.

  • Reduce decision fatigue: When dinner is planned, evenings feel calmer and more intentional.

    [00:26] Hannah Morgan:
Caroline, today we’re talking about meal planning — and you have a unique approach to tackling what many of us see as a daily struggle. Let’s dive in.

    [00:33] Caroline Dilbeck:
Absolutely! Meal planning is one of the challenges I hear about most. It sounds small, but it causes enormous stress. Every evening brings that 5 PM friction — the dreaded “what’s for dinner?” moment. Especially during busy seasons or transitions — like the holidays or back-to-school — it can feel overwhelming.

My advice is simple: you only need 21 dinners.

    [01:06] Caroline Dilbeck:
We found that 21 is the sweet spot — not so many that it’s overwhelming, but enough to create variety. You can rotate them in cycles of three weeks. Some clients even do seasonal rotations — lighter summer meals and cozy winter favorites — but 21 core dinners keep everything manageable.

    [01:38] Hannah Morgan:
I love that. So, is 21 the number of meals you pull from, or do you plan that many each month?

    [01:45] Caroline Dilbeck:
It’s your playbook — a rotation of 21 recipes that form your family’s meal foundation. You can write them out yourself or use a digital version. Start by setting a timer for five minutes and brain-dump everything you cook regularly — even simple things like spaghetti. Most families already have their 21 meals; they just haven’t realized it yet!

    [02:28] Caroline Dilbeck:
Once you’ve listed your meals, you can organize them any way you like — recipe cards, binders, or apps. Personally, I love the Paprika app because it links to online recipes and syncs across devices. My husband cooks more than I do, and he loves having everything organized digitally.

    [03:10] Hannah Morgan:
That’s great — the best system is the one you’ll actually use! Whether it’s laminated cards or an app, it’s about consistency.

    [03:20] Caroline Dilbeck:
Exactly. And the magic happens when you take it one step further — make the invisible visible.

Write your plan on a kitchen board or link it to a shared digital calendar. This way, the whole family knows what’s for dinner, and you can finally share the responsibility. When everyone can see the plan, it stops living in your head.

    [04:00] Hannah Morgan:
Right — because if it’s just in your brain, no one else can help. And let’s be honest: “What’s for dinner?” might be the most dreaded question of parenthood!

    [04:08] Caroline Dilbeck:
(Laughs) Yes! That question alone can spike your stress. But when you’ve planned ahead, that decision fatigue disappears.

    [04:34] Caroline Dilbeck:
Meal planning is such a microcosm of family life. It’s one small thing that affects everything — your evenings, your mood, your energy. Once you have a working system, it snowballs into other areas of your home.

    [05:29] Hannah Morgan:
I love that. So this could be a great first step for anyone wanting to introduce systems into their home without feeling overwhelmed.

    [05:36] Caroline Dilbeck:
Absolutely. The 21 Meal Playbook is the perfect entry point — small effort, huge payoff.

    [10:28] Hannah Morgan:
Thank you so much for joining us, Caroline. I love this approach and can’t wait to try it myself — though I might have to get creative to hit all 21 dinners!

    [10:36] Caroline Dilbeck:
(Laughs) You can do it! Thanks for having me.
