Episode 89 – The Secret to Streamlining Family Logistics with Amy Briggs

Keeping up with school calendars, doctor appointments, extracurricular activities, grocery runs, and family commitments can feel like a full-time job. In this episode of De-Stress the Nest, Hannah Morgan sits down with Amy Briggs, founder and CEO of Aviva, to discuss practical ways busy families can simplify scheduling, reduce mental load, and create systems that actually work.

Amy shares actionable strategies for automating recurring tasks, conducting effective family calendar reviews, and creating routines that prevent last-minute surprises. She also explains why looking beyond a single week and adopting a two-week planning horizon can dramatically reduce stress and improve communication.

The conversation goes beyond calendars and logistics to explore how intentional planning can create more space for connection, fun, and the things that matter most.

If your family's schedule constantly feels reactive instead of proactive, this episode is packed with simple ideas you can implement immediately.

Key Takeaways

  • Automate recurring events whenever possible. Annual appointments, activities, and household tasks shouldn't rely on memory.

  • Create shared ownership of family logistics. One person shouldn't have to carry the entire mental load.

  • Use a two-week planning window. Looking beyond the current week provides more time to prepare and coordinate.

  • Build systems before emergencies happen. Proactive planning reduces stress and missed details.

  • Include fun in your planning process. Family logistics shouldn't only focus on responsibilities.

  • Treat your family like a team. Shared values can guide how you approach scheduling and decision-making.

Quotes

  • "We all are so busy. We don't have the time to do it."

  • "Let's get them on the calendar. Let's make it a recurring event."

  • "If you're not in the habit of looking at two weeks of time, that's a great practice."

  • "You're chiseling away little blocks of time that now are under your control."

  • "Put a carrot at the end of the stick."

  • "You get to choose that."

[00:38] Hannah Morgan: Amy Briggs, I'm so happy to welcome you to De-Stress the Nest. Why don't we start by hearing a little bit about who you are and what you do?

[00:48] Amy Briggs: Thank you so much for having me, Hannah. I'm so happy to be here. I am Amy Briggs, a mom of two daughters, a speech-language pathologist by trade, and the founder and CEO of Aviva, a family logistics app that helps busy parents automatically turn emails into calendar events and stay on top of everything life throws their way.

[01:25] Hannah Morgan: Awesome, glad to have you. Thank you, Amy.

[01:30] Hannah Morgan: Today we're talking about streamlining family logistics and creating systems that make scheduling less overwhelming. Where should families start?

[01:50] Amy Briggs: The first step is looking at your systems and figuring out what can be automated. Think about recurring appointments, school events, activities, grocery shopping, and all the things that happen over and over again. The more you can automate, the less mental load one person has to carry.

[02:40] Amy Briggs: Sit down with your partner and identify everything recurring. Get it onto the calendar. Well visits, dental appointments, activities, school events, grocery routines. Create a cadence and a system so those things don't just live in someone's head.

[03:25] Hannah Morgan: The recurring is everything. If I have to rely on myself to schedule it every week, it's literally never going to happen.

[03:40] Hannah Morgan: What about ongoing maintenance? Is this a weekly review, a monthly review, or something else?

[03:55] Amy Briggs: For annual items, it may only require a yearly review. But for most families, I recommend looking at your calendar in two-week increments. That's where a lot of opportunities to get ahead live.

[04:35] Amy Briggs: Looking beyond the immediate week helps you anticipate things before they become urgent. It gives you time to coordinate, communicate, and prepare without everything feeling rushed.

[05:05] Hannah Morgan: That's such a practical tip. Instead of only reviewing the next seven days, give yourself a two-week view so you're not constantly reacting.

[05:35] Hannah Morgan: Do you have advice for getting partners on board with these conversations?

[05:45] Amy Briggs: Frame it around what you gain. If you can anticipate what's coming and discuss it ahead of time, you don't have to have stressful conversations while rushing out the door. You're creating more time for what you actually enjoy.

[06:25] Amy Briggs: Getting ahead of your calendar gives you more control over your time. It creates opportunities for connection, fun, and being present with the people you care about.

[06:55] Amy Briggs: My husband and I always make sure we include something enjoyable in our planning conversations. A trip, a date night, seeing friends, a future vacation. Don't make it all business.

[07:25] Hannah Morgan: I love that reminder. So many of us feel like we're in the business partner phase of parenting, where every conversation is about logistics and responsibilities.

[07:55] Hannah Morgan: Sometimes you have to intentionally schedule the fun things too. The things that remind you you're building a life together, not just managing a calendar.

[08:15] Amy Briggs: Exactly. If you're going to run your family like a team, think about your values. Maybe your family values fun. Maybe you prioritize connection. You get to decide what matters and build around that.

[08:55] Hannah Morgan: I love that. Sometimes I jokingly say, "We are a fun family!" as a reminder that having fun isn't optional.

[09:10] Amy Briggs: Whether you want to or not!

[09:18] Hannah Morgan: Amy, thank you so much for sharing. It's amazing how a conversation about calendars and scheduling can lead to bigger discussions about connection, values, and how we want to spend our time.

[09:45] Amy Briggs: My pleasure. Thanks for having me.

[09:58] Hannah Morgan: Thanks for listening to De-Stress the Nest, the podcast where experts share bite-sized tips on how to minimize stress at home.
